When an ID will not scan: damaged barcodes and manual entry
Published November 3, 2026 · 7 sources linked
What can a bar do when an ID will not scan?
A barcode may fail because of wear, damage, glare, a security laminate or an unsupported document. The card's front may still show a date of birth, photo and expiry date; a house rule can allow a hand check, a second ID or manual entry. In Utah and Texas, the rules that require an electronic check also say what happens when the scan cannot be done.
An unreadable ID at a glance
- Why a barcode fails to read
- Wear and damage, some security laminates, a card design newer than the reader's software or a document with no license barcode
- What the front still shows
- Name, date of birth, issue and expiry dates, ID number, address, photo and signature
- What the door can do
- Scan again, check by hand, ask for a second ID, type the details in or refuse, as the house rule says
- State rules on a scan that fails
- Utah lists the details documented instead, and Texas lets covered sellers enter the card's information into an electronic reader by hand

A fallback for cards that will not read
Staff can tap Manual Entry and type the details from the front, and the age and expiry checks still run. Each typed visit is marked Manual entry, so a later review can tell it apart from a scan.
Why a barcode will not read
The barcode on the back of a US or Canadian driver's license or state ID is a PDF417 code, laid out under the card design standard of AAMVA, the association of US and Canadian motor vehicle agencies. The standard requires its mandatory and optional data to be unencrypted, so a reader needs no key to decode it.
- Wear and damage. The standard offers states durability requirements for a card to stay readable until it expires, through wear from a pocket with keys and coins to a washing machine. It also calls for error correction in the barcode because abrasion and other damage build up over time.
- The laminate. The same section of the standard notes that certain security laminates interfere with how well a barcode reads.
- A new card design. When New York changed the barcode on its licenses in 2022, its DMV told enforcement agencies that their TRACS software needed an update to read it, and to process the license manually if they had trouble reading the new barcode.
- A document without that barcode. Passports, US green cards and licenses from other countries do not carry it, and passports and green cards have a machine-readable zone instead. Paper temporaries vary from state to state.
- A fake. An unreadable barcode does not settle it either way: a genuine card can fail for any of the reasons above, and a fake can fail too.

What the card still shows
AAMVA's standard puts the barcode on the back and the holder's details on the front: name, date of birth, issue and expiry dates, ID number, address, photo and signature, plus sex, height and eye color. It also asks states not to put anything in the barcode that is not printed on the card, so the details a scan would read are still on the front when the barcode fails.
Without a barcode read, staff lose that scan's automatic age, expiry and barcode forgery checks. By hand, those become the date of birth against tonight's born-on-or-before date, the expiry date, the photo against the face and one feel of the card, as in how to check IDs at the door and how to spot a fake ID.

What the door can do with an unreadable card
Try another scan
Take the card out of any sleeve or wallet window, hold it flat, move it out of direct light to cut glare and fill the frame with the barcode. A careful second try is the quickest fix for a bad angle or glare.
Check it by hand
The same routine as any card: date of birth, expiry, photo to face and one feel. A card that will not read gets every step.
Ask for a second ID
A passport, passport card or another government photo ID gives staff a second document to compare, and one that may scan.
Type the details in
Where the scanner has manual entry and the house allows it, staff key in the details from the front, so the age and expiry are still worked out and the visit is still recorded.
Follow the house rule
If the house takes only cards that scan or a second ID, say so with the house line rather than calling the card fake. How to refuse entry at a bar has the wording.
The house policy sets which option applies and in what order. The bar door policy template has room for it next to the lines on expired IDs and paper documents, so a worn card on a busy night gets the same answer from every checker.
A guest whose card keeps failing can be pointed to the DMV. California's DMV and Washington, DC's both list a damaged card as a reason to request a replacement.

Documents that do not read like a license
Some documents were never laid out like a US license. Paper temporaries differ from state to state, as covered in can a bar accept a paper temporary ID?, and foreign licenses, passports and US military IDs each have their own article: out-of-state and foreign driver's licenses at a bar, can a bar accept a passport? and can a bar scan a military ID?.
What Utah and Texas say about a scan that cannot be done
Where a state requires an electronic check, its rules can also say what happens when the check cannot be completed. Utah and Texas both do.
- State
- Utah
- Who the scan rule covers
- Bars and taverns before admitting anyone, restaurants before a customer who appears 35 or younger obtains alcohol, and beer retailers' drive-through and pickup sales.
- When the scan cannot be done
- If the device cannot verify the ID, the licensee documents its type, number and expiration date and the customer's name and date of birth, or uses another technology that reads the ID and keeps its number, expiration date, name and date of birth. The record is kept for seven calendar days and no longer.
- State
- Texas
- Who the scan rule covers
- Retail sales of alcohol for off-premises consumption, such as at a package store. Mixed beverage permit holders, restaurants and several other permits and sales are excluded.
- When the scan cannot be done
- If the license or ID cannot be electronically scanned, the seller may enter its information into an electronic reader by hand. If an internet or data outage stops the scan, the commission may not discipline the permit or license holder for the missed scan if the ID was visually inspected. Separately, the outage is a defense to prosecution for the missed scan.

When a card will not scan in AgeShield
AgeShield reads driver's licenses from the US and Canada and some from other countries, plus US state IDs, US green cards and passports, the last two from the machine-readable zone in every scan mode. Military IDs are deliberately not read, and national ID cards from other countries are not accepted.
Which side a scan needs depends on the scan mode. Fast accepts either side on its own, so the printed front can be scanned when the back will not read, though a front-only scan has no barcode for the forgery check. Standard requires the back barcode and does not accept a front-only scan, and Secure needs the front and the back and compares them. The owner sets the venue's minimum scan mode. Staff can choose a stricter mode, not a weaker one.
If the camera cannot read a document, staff can tap Manual Entry and type the details in. The age and expiry checks still run, and the record is marked "Manual entry". The barcode forgery check needs the barcode, so a typed entry relies on the check by hand. Manual Entry is on for new venues, and an owner can switch it off in the hub to require a camera scan for every guest.
AgeShield ID Scanner
A fallback built into the scan
AgeShield ID Scanner runs on the phones door staff already carry. When a card will not read, staff can tap Manual Entry or scan the printed front in Fast mode where the venue's minimum allows it. The age and expiry checks still run on typed details. The scan mode is saved with every visit and typed entries are marked "Manual entry", so a later review can tell a typed entry from a scan.
Common questions
Why won't my ID scan at a bar?
The card may be worn or damaged across the barcode, a security laminate can interfere with the read, or the card may be a newer design than the scanner's software. Some documents, such as passports, carry no license barcode at all and need a scanner that reads their machine-readable zone. A failed scan on its own does not mean the ID is fake.
Is an ID that will not scan fake?
Not on its own. A genuine card can fail to read through wear or damage, and a fake can fail too. Staff check the card by hand, ask for a second ID or follow the house rule.
What does a Utah bar do when the scanner cannot verify an ID?
Utah's rule says the licensee documents the ID's type, number and expiration date and the customer's name and date of birth, or uses another technology that reads the ID and keeps its number, expiration date, name and date of birth. The record is kept for seven calendar days and no longer.
How do you get a new license if yours will not scan?
Ask your state's DMV. California's DMV and Washington, DC's both list a damaged card as a reason to request a replacement.
Can AgeShield check an ID that will not scan?
Staff can tap Manual Entry and type the details in, and the age and expiry checks still run. The record is marked "Manual entry". An owner can switch Manual Entry off in the hub to require a camera scan for every guest.
