Delete your AgeShield account or data
This page explains how to request deletion of your data from AgeShield, operated by AgeShield LLC. It applies to everyone who signs in to AgeShield: owners, managers and door staff.
You can delete the whole account, or remove individual people, devices or records without closing it.
How accounts work in AgeShield
There is one account per business and it belongs to the owner. Everyone else is a member on that account:
- Owner holds the account, the billing relationship and every venue on it
- Manager is added by the owner and signs in to the AgeShield Hub
- Door staff sign in to the AgeShield app on a venue-owned phone, using a device credential the owner issued
Managers and door staff do not create or hold their own AgeShield account, so there is no separate account of theirs to close. Their member record lives under the owner’s account, which is why a request from a manager or a staff member has to identify that account.
If you are a manager or door staff
The fastest route is to ask the account owner. They can do it themselves in the AgeShield Hub in under a minute, without contacting us: Setup → Team removes a manager or a staff member and their name and Setup → Devices removes an enrolled device. Access is revoked immediately.
If you would rather ask us, or the owner will not action it, email support@ageshield.bar and include:
- Your full name as it appears in AgeShield
- Whether you are a manager or door staff
- The venue name and location where you work or worked
- The name of the account owner, or the business name on the account
- An email address we can reply to
We need those details because we cannot find a member record from a name alone and we can not legally remove one without confirming with the owner, who controls the account for compliance and audit trail reasons. We will tell you once your member record and access have been removed.
If you are the account owner
You can delete your account yourself in the AgeShield Hub. Sign in, open Account, scroll to Delete Account and confirm. Nothing needs to be emailed and you do not need to wait for us. The same screen area is where you manage the rest of your account.
You can also remove an individual manager, staff member or device without closing the account. See Delete some data without closing the account below.
If you cannot sign in, or would rather we did it, email support@ageshield.bar from the address on the account, with:
- Your account email
- Your venue name, or all venue names if you have more than one
We reply to confirm. We must be able to reach you at the account email address, because that is how we verify the request came from the account owner. Deleting in the Hub needs no such check, because you are already signed in as the owner.
Deletion is permanent. Once an account is deleted it cannot be recovered and neither can the venue configuration, device enrolments or staff records held under it.
Delete some data without closing the account
You do not have to close the whole account to remove data. The account owner can do any of the following in the AgeShield Hub. Each takes effect immediately.
- Remove a manager or a staff member. Open Setup → Team, find the person and remove them. Their name and their access are deleted. The venue keeps its own records of which shifts were worked, because those are compliance records rather than personal profile data.
- Remove an enrolled device. Open Setup → Devices and remove it. The device credential, its active sessions and its login tokens are deleted, so that phone can no longer sign in.
- Shorten how long scan records are kept. Each venue sets its own retention period in Setup. Records past that period are deleted automatically.
If you are a manager or a member of door staff, ask the account owner to do this for you. If you cannot reach them, email support@ageshield.bar with the details listed above and we will act on it with the owner.
Removing a person or a device does not close the account and does not cancel the subscription. If you want the account itself deleted, use the steps further up this page.
What is deleted when the account is closed
- Your owner account and its sign-in credentials
- Every venue on the account and that venue’s settings and configuration
- Enrolled devices, device credentials, active sessions and login tokens
- Staff members on the account, including their names and access settings
- Groups and tags created on the account
- Audit logs
- Subscription records held by us. Any active subscription is cancelled first, so a deleted account can never continue to be billed
- Per-venue statistics and aggregates
What is kept and for how long
Two things are kept. This is the complete list.
- Billing and invoice records, for seven years. These are held by our payment processor to meet tax and accounting obligations. Your subscription is cancelled before deletion, so no further charges can occur.
- A record that the deletion happened. We keep the date and the fact of the request. We do not keep the account contents. Without this record we could not demonstrate that we honoured your request.
Everything else listed above is deleted.
How long it takes
Deletion completes within 45 days of a confirmed request. The window exists so an account deleted by mistake, or by someone who has since left the business, can be recovered before the data is gone. Tell us if you need it done sooner and we will action it.
This page is about people who sign in to AgeShield. If you had your ID scanned at a venue and want to know what that venue holds about you, that record belongs to the venue rather than to us. Our privacy policy explains how to ask them and how to escalate to us if they cannot help.
